Before the event

Your event

What an event is, where you find it, and how to bring a tabulator onto the day.

An event is the container for a whole dance night: its competitions, participants, judges, and published results. One event per night, and as many competitions inside it as you need.

Your event is already created for you

Setting up the event itself (name, year, owning account) is something your account administrator does once. By the time you sign in, the event is already in your My Events list.

  1. Sign in and open the Organizer page (top navigation).
  2. Under My Events you will see the event, for example Harborview Balboa Social (2026), with your name under it and a Manage event → button.
  3. Click Manage event → to open the event workspace. This is where you create competitions, register dancers, set up judges, and publish results.

If the event you expect is not there, you are probably signed in as the wrong person; see Account access.

Bring a tabulator onto the day

Most events have a second person helping with logistics: checking a name, keeping score, printing. Invite that person as a tabulator for your event; no one else's help is needed.

  1. On the Organizer page, open the Invite Tabulator card.
  2. Enter their email address, pick the event, and click Send invite.
  3. They get an email with a one-time sign-up link. If they already have an account, the invite simply attaches it to the event.

A tabulator sees the event and can help with scores, but cannot change the core setup or publish on their own.

Common mistakes

  • Thinking an event and a competition are the same thing. An event holds many competitions. Create one event, then add as many competitions inside it as you need.
  • Inviting a dancer. Dancers do not need accounts; only the people running the event do.
