Add People to the Right Competitions (Assignments)
Put participants into the competitions they dance in, and see who is assigned to what.
A participant can dance in more than one competition (for example, Individual and Mixed). Assigning a participant to a competition is what puts them in that competition's scoring grid and gives them a competitor number.
Assignments live in two places, and both edit the same data:
- On the Event page. The Participant Management section lists every participant in the event, with a per-competition assignment per row (the type, a partner link if it is a couple, and the competitor number).
- Inside a competition. The competition page has an Assigned participants list and an Import Assigned Participants button that copies everyone assigned here into the scoring grid.
Steps
- Open the event: Manage event →.
- Make sure the participants are created or imported first (see Add participants).
- On each participant row, note which competitions they are checked into, their type (Single or Couple), and their role in a couple (leader/follower). Use the row controls to change the type, link a partner, or remove them from a competition.
- Open each competition: Manage →, and confirm the Import Assigned Participants button is enabled. Click it to fill the grid from the event's assignments.
- Click Save on the competition.
Organizers and tabulators on the event
The My Events organizer card also lists the tabulators assigned to the event. You invite a tabulator yourself, from the Invite Tabulator card (see Your event). If a person needs a different access level on a specific competition, ask your account administrator to set it up.
What the numbers mean
- A competitor number is unique per (event, year, first name, last name). If two people share a name in the same event-year, the app will ask you to resolve the duplicate by number.
- A couple: the leader and follower each get their own number, but the pair appears as a single row in the scoring grid (see Couples and partners).
Common mistakes
- Missing the import step. A participant can live on the event and still be absent from a competition's grid; the Import Assigned Participants button fixes that in one click.
- Assuming one assignment covers another stage. A Mixed Prelims entry does not put them in Individual Finals. Each assignment is explicit.
- Editing a name after import. Name changes on the event page do not always refresh an already-imported grid. Re-import or re-save the competition to sync.
